The job

On a building site the report gets paid for twice: once in the evening when you type it up, and once three months later when nobody can find who agreed to what. A site manager running six jobs is not short of tools, they are short of the hour between the last meeting and the next one. Field report software usually asks you to fill in its forms while standing in the mud. This works the other way round: the notes you already take become a dated site report, with names and deadlines, before the memory of the morning fades.

What has to be in a site visit report?

The date and who was there, what was observed, what was decided, who owes what by when, and the points left open. The last two are what make the document useful a month later, and they are the two that shorthand notes usually lose.

How should the report open?

With the facts that let anyone place the document: which site, which meeting, which date, who attended. Not with a formula. The magik puts those first because a report that opens on a sentence about the weather gets skimmed, and the decisions are what people came for.

Could I get the daily report too, not only the meeting one?

It is the same material and a different magik: what was done today, who was on site, weather, deliveries, what is blocking. Written from the same notes, it costs one more pass rather than a second tool with its own login for the site manager.

My notes are taken standing up, in shorthand, on my phone. Is that enough?

That is the intended starting point. The lab takes your site meeting notes as you wrote them and turns them into the report: what was decided, who owes what, by when. You read it before it goes out, and that is where you fix whatever the shorthand swallowed.

What about the points left open from one meeting to the next?

They live in a collection, site by site. A point opened last week and not settled this week comes back in the next report instead of vanishing between two notebooks. That is what accumulated decisions make possible and what a blank page does not.

The client does not read the same document as the trades on site.

The report and the word to the client are two separate magiks, written from the same notes. One lists decisions and open points for the people working on site, the other tells the client where the project stands and what is expected of them. You read both before either leaves.

Can I get it as a Word or PDF file to circulate?

The output is text you read, correct and paste into the document you already send, with your letterhead on it. The lab holds the content and the memory of the open points, not your page layout, and it does not send anything to anybody on its own.
